Terms and Conditions for Hosted Banks & Credit Unions and Hosted Retailers & Merchants

Last revised: May 5, 2026

As a Hosted Banks & Financial Institutions participant or Hosted Retailers & Merchants participant ("you") in Fintech Meetup Europe 2026 (the "Event"), scheduled to be held October 6-8, 2026 at Feira Internacional de Lisboa, Portugal ("The FIL"), you agree to these terms and conditions with Hyve International Events Limited ("Fintech Meetup"). If you are completing a registration on behalf of another individual, you warrant that you have made the Hosted participant aware of this Agreement and that he or she has accepted these terms and conditions.

  • Free Tickets & Travel Allowance: Fintech Meetup Europe will provide qualifying individuals from regulated banks and financial institutions who participate in Hosted Meetings as part of Fintech Meetup Europe's Meetings Program with a complimentary Fintech Meetup Europe ticket and a travel/accommodation reimbursement of up to €650 in travel/accommodation expenses incurred per person.

  • Qualifications: Hosted Banks & Financial Institutions: To qualify, individuals must (a) be employed by a regulated bank or financial institution, (b) be responsible for buying or evaluating payments, banking, lending, credit, personal finance, investing or other applicable technology and solutions for their organization, and (c) participate in up to eight (8) pre-scheduled 15-minute onsite meetings with participating sponsors ("Hosted Meetings") and attend one (1) networking event as part of the VIP Networking Programme.

    All Hosted Meetings are arranged based on a double opt-in process to ensure relevance and value for all participants.

  • Qualifications: Hosted Retailers & Merchants: To qualify, individuals must (a) be employed by a retailer or merchant (companies primarily engaged in the direct-to-consumer business of online or physical retail of consumer goods and services, including traditional retailers, direct-to-consumer brands, online marketplaces, hotels, and restaurants), (b) be responsible for buying or evaluating payments, banking, or financial services technology or solutions for their organization, and (c) participate in up to eight (8) pre-scheduled 15-minute onsite meetings with participating sponsors ("Hosted Meetings") and attend one (1) networking event as part of the VIP Networking Programme.

    All Hosted Meetings are arranged based on a double opt-in process to ensure relevance and value for all participants.

  • Non-Hosted Meetings: If they choose to, qualifying individuals can also participate in meetings that are not Hosted Meetings ("Non-Hosted Meetings") with individuals (including those that are not from sponsors) participating in the meetings programs. These non-hosted meetings are also based on a double opt-in process so that they are useful to everyone.

  • VIP Networking Programme Participation: You agree to attend at least one (1) designated networking event as part of the VIP Networking Programme. Attendance at this event forms part of the Hosted Programme requirements. Failure to attend may be considered when determining eligibility for travel/accommodation reimbursement and future participation in Hosted Programmes.

  • Meeting Times: You commit to being available for at least 16 Meeting Time Slots during Meeting Times as set forth below until you receive your final schedule immediately prior to the event. Your final set of up to eight (8) 15-minute Hosted Meetings may be spread across multiple Meeting Times; they may not be back to back. You will not need to miss any agenda sessions for these meetings.

    Meeting Times are subject to change; however, any such changes are not expected to be material.

  • Travel Arrangements: You are responsible for making your own travel and accommodation arrangements to attend Fintech Meetup Europe. Fintech Meetup Europe will work with a selection of nearby hotels to provide preferential rates for attendees; details on how to access these rates will be shared in advance of the Event. Accommodation availability is not guaranteed, and we recommend booking early. Please note that hotel bookings (including any cancellation fees or deposits) are subject to the terms and conditions of the respective hotel.

  • Meetings Program Participation: We will contact you prior to Fintech Meetup Europe to arrange your Hosted Meetings using our Fintech Meetup Europe platform. You agree to participate in this process, including (a) completing a short profile with questions about your company and job role, (b) participating in a double opt-in process to select individuals from participating sponsors for potential meetings (and other individuals if you want to request non-hosted meetings), and (c) accepting meetings and adding meetings to your calendar. Following Fintech Meetup Europe, you agree to provide post-event feedback on the Meetings Program and each Hosted Meeting and to provide receipts for expenses. You agree to respond to all our requests within our stated deadlines. Nonresponsiveness to our deadlines and outreach to you may result in you being placed on a blacklist that will prevent you (and potentially your organization) from qualifying for a Hosted ticket for one or more future years.

  • Completing Your Own Hosted Meetings: We do not entertain requests to combine Hosted Meetings with other individuals from your organization that might also be participating in the Meetings Program. If more than one person from your organization is attending Fintech Meetup Europe as a Hosted Bank & Financial Institution, each person must complete their own set of up to eight (8) Hosted Meetings. If you are unable to attend your Hosted Meetings for any reason, you will not be eligible to receive a travel/accommodation reimbursement or complimentary Fintech Meetup Europe ticket.

  • Failure to Complete Hosted Meetings: If you pick up your Fintech Meetup Europe badge onsite or otherwise attend Fintech Meetup Europe but do not complete your scheduled Hosted Meetings: (a) we will not be responsible for any costs associated with your travel or accommodation and you will not receive any reimbursement, (b) your credit card will be charged €1,500 for your Fintech Meetup Europe ticket per the authorization you agree to below, and (c) you may also be placed on a blacklist that will prevent you (and potentially your organization) from qualifying for Hosted tickets for one or more future years. Notwithstanding the foregoing, we reserve the right at our sole discretion to prorate your ticket fee and/or your travel/accommodation reimbursement calculated based on the total Hosted Meetings for which you were scheduled and that you completed.

  • Cancellation & Substitutes: If you are approved for a Hosted ticket but become unable to participate even though you are still with your organization, you agree to suggest one or more substitutes from your organization as your replacement. Acceptance of any substitute is subject to our prior approval via email. If you cancel your participation and are not able to provide a substitute approved by us, this may result in you being placed on a blacklist that will prevent you from qualifying for Hosted tickets for one or more future years.

  • Notice of Employment Change: If you (a) are no longer employed by, or (b) become aware prior to Fintech Meetup Europe that you will no longer be employed at the time of Fintech Meetup Europe or after Fintech Meetup Europe by the regulated bank or financial institution based upon which you were approved for your Hosted Banks & Financial Institutions ticket, you must let us know immediately upon your becoming aware so that we can cancel your participation in Hosted Meetings. In such cases, you will no longer be eligible to participate in Hosted Meetings or to receive a travel/accommodation reimbursement or complimentary Fintech Meetup Europe ticket. Failure to notify us may result in you being placed on a blacklist that will prevent you from qualifying for Hosted Banks & Financial Institutions tickets for one or more future years. At all times, including following Fintech Meetup Europe, we reserve the right to only communicate with you at your work email address regardless of any other email address you may have provided or we may have otherwise used.

  • Reimbursement Process: As the final step to receiving your travel and accommodation reimbursement of up to €650 in travel/accommodation expenses incurred, we require that you complete a short feedback form providing specific evaluations of each Hosted Meeting (we will also ask participating individuals from sponsors to provide feedback on their meetings with you). Please note that Fintech Meetup will not reimburse for any mileage, points or rewards used for travel. Reimbursement is conditioned upon completing all of your scheduled Hosted Meetings and fulfilling your VIP Networking Programme participation requirement and submitting the feedback survey and travel/accommodation receipts following the event within our stated deadlines.

  • Credit Card Details: You agree to provide your credit card information and authorize us to process a €1 charge on your credit card as part of your Fintech Meetup Europe ticket registration. You also authorize us to charge the cost of your ticket at the rate of €1,500 to your credit card if you do not complete your scheduled hosted meetings as described in section (9) above.

  • Qualification at Fintech Meetup's Discretion: Qualification for Hosted Banks & Financial Institutions tickets is determined solely by Fintech Meetup and may be revoked at any time. By completing registration, you agree to these Terms & Conditions.
